Automated Customer Communication in 7 Languages
By Marc Palma · 5 min read · 2026-02-28

Anyone in the European logistics business knows the problem: customers in the Netherlands, France, Italy – and they all expect communication in their language. Delay notifications, status updates, quality reports. Doing this manually in multiple languages costs an enormous amount of time.
At ECO Containertrans, we did it that way for a long time. Until we started automating our communication workflows with AI. Today, our systems send these messages automatically – in the right language, the right tone, at the right time.
How It Works
At its core, we use workflow automation combined with AI language models. The simplified process looks like this:
Step 1 – Detect event: A tracking system reports a delay or status change. Or a quality report is completed internally.
Step 2 – Identify recipient: The system checks who needs to be notified and what language the customer communicates in.
Step 3 – Generate message: The AI creates the message in the detected language. It doesn't simply translate word for word but formulates naturally and professionally in the respective language.
Step 4 – Human review: For critical messages, the email doesn't go out immediately but enters a review loop. An employee takes a quick look, approves, or adjusts. Standard notifications go out directly.
What This Means in Practice
Previously, sending a delay notification to three customers in three languages easily took 20-30 minutes – if you even had the right contact person and their language in mind. Today, it happens in seconds.
But it's not just about speed. The quality of communication has also improved. The AI doesn't forget important details, uses consistent wording, and doesn't make careless translation errors.
And our customers? They notice the difference. Faster response times, professional communication in their native language – that builds trust.
Who Is This Relevant For?
Essentially any forwarder working with international customers. You don't need a massive IT project for this. The building blocks – workflow automation, language models, email integration – are available and affordable today.
We've incorporated this experience into our products. Multilingual communication isn't an add-on for us – it's been part of the design from the start. Because we know what European logistics looks like in daily operations.
